Use structure and formatting to guide the reader

Make sure the document’s structure is clear and visible, and leads the reader logically through the steps. Establish the structure during planning by outlining the points your technical document will make, and grouping points logically to create segments or stages. If a particular section is likely to be read as a standalone text (eg a recipe in a cookbook), make sure that the text does not rely on earlier references or explanations to make sense.

Formatting can support the structure, with clear design elements that indicate examples, sequential (numbered) steps, introductory information and so on. Separate large blocks of text with headers and graphics, as appropriate. Provide a table of contents and page numbering to assist with navigation to particular parts of the instructions (a reader who wants to know how to change a printer cartridge will not want to read all of the instructions on how to set up the printer for the first time).
